How to Find and Attend OTW Board Meetings

If you're interested in attending OTW Board meetings, here's what you need to know:

All Board meetings are open to the public. They're held quarterly and are announced on the OTW Twitter about a week before and again an hour before.

You can also find meetings on the Board's Google Calendar. If you add it to your own calendar, you can set up notifications for new meetings as well as event reminders. In recent months the agenda for the next meeting has also been added to the bottom of that page.

Meetings are held on Discord. Between meetings the room is set to read only so you can't post, but you can read back through past meetings, and if you join the server now, you should get a notification when they post the date for the next one. If it's your first time on the server, you'll have to agree to the rules of conduct in #01-some-rules and then you'll be allowed into the #public-board-meetings channel. Here's an invite link if you want to get a feel for the place.

Board meetings last an hour. During the meeting the Board takes relevant questions about the business at hand. If there's time, there's an open question period at the end, but you have to get your question in before the end of the hour. If you'd like to ask the Board a question but need help putting one together, fiercynonym has a Twitter thread of excellent questions for the OTW regarding its anti-racist work (or lack thereof), or you can read the same thread on my Dreamwidth, which I compiled with permission.

As of May 23, 2023, there isn't a date set for the next meeting, but if you have any other questions, I'll do my best to answer them!

Template Letter to the Board

OTW Board meetings are one of the few ways fans can witness decisions being made about how the AO3 operates. Unfortunately, many fans don't even know there are board meetings, how they're run, or what they do, and even fans that do follow Board activity find it difficult to learn when they're scheduled. This has to change.

Part of the system that has created the problems OTW/AO3 are currently experiencing is due to this ongoing lack of transparency and confusing processes. In line with the upcoming elections, we feel these next few Board meetings before and after the election will be particularly important and feel the organization can be doing more to publicize them, making them more accessible and available to fans. To that end, you can share the following letter with the board by using this link and setting your message to go to the OTW Board Of Directors.  

We call on the OTW Board to demonstrate their commitment to further transparency by better publicizing their Board meetings.  Here are a few ways we feel you can do this: * add a banner to AO3 pages, like those used for membership drives * post announcements on all news platforms, not just Twitter, and pin them to the top of the page across social media  * email notices to all OTW members * maintain an opt-in mailing list for non-members Your promise of being more transparent about the org's processes must include an effort to reach as many fans as possible when announcing these meetings, giving us the opportunity to see the Board at work and make our voices heard. I stand with End OTW Racism in holding the OTW accountable to its commitments. Please start now with  better publicizing the upcoming meeting on July 2nd. Thank you, [your name]

As you know, Bob, I will not shut up about OTW Board Meetings.

My origin story: September 5, 2021, the OTW was celebrating its 14th anniversary, and as I read their cheerful announcement I thought of the fans of color I know and their frustration, disappointment, and anger with both the OTW's historically shitty response to racist harassment and its current lack of action on the promises it made in that June 2020 statement following the murder of George Floyd, and so I sent the OTW a letter requesting a public update on what it was doing to make the organization and its platforms more welcoming to fans of color. I did not get that update. I got a series of replies that didn't actually address my request and after I was sent to comb through old board meeting minutes (board meetings? what board meetings??) for a few crumbs of information, I thought fuck that and showed up at the next board meeting myself, armed with a pointed question about what they were doing to hire a diversity consultant. That was December 2021. I'm still asking that question in board meetings to this day.

So I'm very excited that @end-otw-racism has chosen to amplify my work and that this second action focuses, in part, on getting more people to board meetings and requesting the OTW actually TELL people when and where those meetings will be. I mean, it's not too much to ask???? So let's keep asking until we get it.

Here's what I wrote in my letter:

I've been attending OTW Board meetings for several years and while there's been some progress in how the meetings are announced (mainly the addition of the @ here message in the Discord channel), there's still a lot of room for improvement. Many fans don't even know there ARE board meetings! The OTW has an incredible reach across its social media accounts and the platforms it operates. Please take advantage of this reach: * add a banner to AO3 pages, like those used for membership drives * post announcements on all news platforms, not just Twitter, and pin them to the top of the page across social media * email notices to all OTW members * maintain an opt-in mailing list for non-members And, most importantly, do all these things consistently! This includes proper upkeep of the Board calendar and making announcements as soon as possible, as widely as possible. There's no reason why these meetings should be so difficult to access. Please send your own letter! It only takes a minute. You can use the template provided and/or offer your own suggestions! But the main thing here is to get the OTW to step up and treat these meetings like the important public resource they are and send out notices for them on blast.

#Vote to End OTW Racism

A Call To Action

Earlier this week the OTW responded to our previous action and reaffirmed their commitment towards combating and preventing racism within its platforms. 

They also thanked us for working to keep holding them accountable to their goals and we intend to keep doing so. 

To that end, Fandom Against OTW Racism is calling for our Second Action!! This action is centered around the upcoming Board Elections set for August 11-14. We want to encourage everyone who can to participate in the election process and spread the word far and wide about these elections! 

Currently, 4 of the 7 Board positions are up for election, which is a majority. Now is the time to get involved. In light of multiple accounts coming forth about the state of the organization, it is clear that fundamental changes need to happen – and those can only happen with a shift in leadership, from what we currently have to one that is capable of supporting and implementing those much-needed changes.

Please join us in calling upon our fellow fans to vote to make things better for all of us!

How to get involved:

With four Board Seats open, now is the perfect time to act and make this issue a key component of this election to select people who demonstrate a commitment to combating racism in our fannish spaces. So if you can, please plan to vote this election cycle!!

  • If you already are a member, use your voice and Vote. If you have donated in any of the fundraising drives for AO3 in the last year, you are likely eligible. You can check your eligibility status here by selecting “Is my membership current/Am I eligible to vote?”
  • If you are not currently a member or eligible, consider donating $10.00 so that you can gain membership in OTW and be able to vote. In order to vote your donation must be received by June 30th. 
  • When donating you can add ‘End OTW Racism’ to the ‘In Honor Of’ field if you feel comfortable doing so.
  • If you donate, ensure you select the yes to the ‘Do you want to be an OTW member?’ question

We understand that many people may not be comfortable doing so or may be unable to and that is perfectly fine! You are under no obligation to spend any money and we do not want to pressure anyone into doing so. There are plenty other ways to get the word out to encourage others to vote as well as continue to show support for this issue.

Other ways to get involved:

  • When posting a new fanwork between now and August 14, add ‘Vote to End OTW Racism’ to your title and provide a link to the End OTW Racism blog in your top Author’s Note. Reminder: New fanworks participating in the action are always welcome to join our AO3 collection.
  • For those who may not be creating works or who use AO3 just for commenting/ kudosing, create a Pseud named Vote To End OTW Racism. AO3 will automatically append your default name at the end. So it would look like “Vote To End OTW Racism (Your Name)
  • Add a link back to this call to action on your profile page, for anyone clicking on your name to see. 
  • Update your pfps/avatars/user icons across social media
  • Participate in the upcoming Board Meeting between now and the election (August 11-14). The next Board Meeting is scheduled for July 2 and we will post an explainer about how to participate soon!
  • Send a letter to the Board encouraging them to be more transparent and to better advertise their Board Meetings. (credit to Punk who allowed us to utilize their work for this template)
  • Submit questions during the Q&A period with the Board Nominees. (We will post about this closer to election time)
  • Follow us on Tumblr, Twitter or Dreamwidth as we will be reviewing Board Candidates through the lens of our goals and providing more information on how to be involved over the election period.

[Transcript: "Who's a historical figure people never talk about?"

Oh, I have one for this. Now, a lot of people talk about Martin Luther King and Malcolm X, who are towering figures in the civil rights movement. But, the person people do not talk about– and he might just be the most important person in that movement– is Bayard Rustin. He is the person who taught Martin Luther King about civil disobedience, he debated Malcolm X about integration, and the March On Washington– which Martin Luther King was just a speaker– as you can see down there, Deputy Director, the person who organized that event was Bayard Rustin. There he goes with MLK, there he is with James Baldwin, there he goes with Malcolm.

Now for the sad part. A lot of reason people don't hear about Bayard Rustin: he was an openly gay Black man during that time. And, he was fully aware of the stigma that was associated with that at the time, and he did not want to jeopardize the movement. Listen to this story. When Bayard Rustin would go meet with Martin Luther King, he would hide in the trunk of the car, because he didn't want his presence to taint the movement.

There is a great PBS documentary about him, and if you are not familiar with Bayard Rustin you should be, because he is a towering figure in the history of America, and especially the civil rights movement.]
